1. Who we are
The Teachers Recruitment Portal application portal ("the portal", "we", "us") is operated by the Delta State Government. For the purposes of the NDPA, the relevant Delta State Government ministry, department or agency administering this recruitment exercise is the data controller for the personal data collected through this portal.
2. Information we collect
When you create an account and complete an application, we collect:
- Identity and bio-data: surname, first name, middle name, preferred or maiden name, mother's maiden name, gender, date of birth, religion and marital status.
- Contact details: phone number and email address. Your phone number is also your username for signing in.
- Government identifier: your National Identification Number (NIN).
- Origin and residence: nationality, state and LGA of origin, town of origin, and state and LGA of residence.
- Photograph: a passport photograph that you upload.
- Academic and professional record: primary, secondary and tertiary qualifications, institutions attended, courses of study, grades and years obtained, TRCN registration number where you hold one, NYSC discharge or exemption details, teaching experience and declared competencies.
- Uploaded documents: the certificates and credentials you attach in support of your application.
- Next of kin: name, relationship, phone number and address of the person you nominate.
- Medical information: declared allergies, medical conditions and any disability, together with any assistance you tell us you would need at a test or interview centre. This is sensitive personal data and is handled with additional care.
- Assessment records: your shortlisting outcome, computer-based test centre, attendance and score, interview panel, attendance and outcome, and any final selection decision.
- Help desk correspondence: the tickets you raise, the messages in them and any files you attach.
- Technical data: limited technical information such as your IP address, recorded for security and to protect against abuse of the portal.
3. How we use your information
We use your information to:
- Create and manage your applicant account and issue your application number.
- Receive, assess and process your application for appointment as a teacher.
- Verify your identity using your NIN.
- Contact you about your application, including by SMS to the number you registered with.
- Shortlist applicants, schedule and administer the computer-based test, and arrange the oral interview and microteaching practicum.
- Produce the documents you print from the portal — your application form, admit card and any letter issued to you.
- Answer the tickets you raise on the Help Desk.
- Maintain the security, integrity and proper operation of the portal.
- Comply with legal and regulatory obligations.
4. Lawful basis for processing
We process your personal data on the basis of your consent (given when you submit your application), the performance of a task carried out in the public interest by a government body, and compliance with legal obligations. Where we process sensitive data such as medical information, we do so only to the extent necessary for the administration of this recruitment exercise, including making arrangements at test and interview centres, and with appropriate safeguards.
5. Sharing and disclosure
We do not sell your personal data. We may share it only:
- With relevant Delta State Government ministries, departments and agencies involved in administering this recruitment exercise.
- With identity-verification providers, strictly to confirm your NIN (see section 6).
- With our SMS gateway provider, strictly to deliver notifications to your phone number.
- Where required by law, regulation, or a lawful request from a competent authority.
6. NIN and identity verification
Your National Identification Number is checked against the national identity database through a licensed verification service, solely to confirm that the identity you have given matches the record held against that NIN. We use the result to reduce duplicate and fraudulent applications.
We do not use your NIN for any purpose beyond this exercise, and we do not share it other than as described in section 5.
6a. Verification codes on printed documents
The documents you print from this portal — your application form, admit card and any letter issued to you — carry a QR code. That code contains a random reference, not your personal details.
Anyone scanning it sees only enough to confirm the document is genuine: your name, photograph, application number, the post applied for and your current status. Your medical information, NIN, contact details, addresses, next of kin and mother's maiden name are never shown, so a document can be checked at a gate or a panel without exposing the rest of your record.
7. SMS and communications
By providing your phone number, you consent to receive SMS messages relating to your application, such as your application number, submission confirmation and important announcements. These messages are delivered through a third-party SMS gateway that processes your phone number solely for this purpose.
8. Data security
We apply technical and organisational measures to protect your data, including encrypted transmission, access controls, hashed passwords, and restricted administrative access. While we take reasonable steps to safeguard your information, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Data retention
We keep your application for as long as is necessary for this recruitment exercise and for any statutory record-keeping, audit or appeal period that follows it. Records relating to candidates who are appointed become part of the employment record held by the Ministry.
Documents you upload while a ticket or an application step is still in progress, but which are never submitted, are removed rather than retained.
10. Your rights
Subject to the NDPA and applicable law, you have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate or incomplete data.
- Request deletion of your data, subject to our legal and administrative obligations.
- Withdraw consent, noting that this may prevent us from processing your application.
- Lodge a complaint with the Nigeria Data Protection Commission.
To exercise any of these rights, please contact us using the details in section 13.
11. This portal is for adults
This exercise is open only to graduate teachers, so every applicant is an adult. The portal is not intended for use by anyone under the age of eighteen, and we do not knowingly collect personal data from children.
If you believe a child has submitted information through this portal, please tell us using the contact details in section 13 so that it can be removed.
12. Changes to this policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with a revised "last updated" date. Your continued use of the portal after changes are posted constitutes acceptance of the updated policy.
13. Contact us
If you have questions about this Privacy Policy or how your data is handled, please contact the Delta State Ministry of Basic and Secondary Education through the official channels of the Delta State Government. If you already have an account, the quickest route is a ticket on the Help Desk from your dashboard, which reaches the Ministry directly and keeps your correspondence in one thread.
